RENTAL SPACE AGREEMENT

Welcome to Mood Studios!

By using our services, you agree to the following terms and polices. Please note that all studio rooms are under video surveillance to ensure safety and compliance with studio policies.

**FAILURE TO OBSERVE THESE GUIDELINES WILL BE GROUNDS FOR LOSS OF FUTURE ACCESS TO OUR STUDIOS AND/OR ADDITIONAL CHARGES.

Premises Use

Mood Studios agrees to rent studio space located at 5270 Solar Drive, Mississauga, ON L4W 5M8 to the Customer for photography, videography and related activities. The Customer must adhere to all applicable laws and studio rules. No alterations may be made to the studio without prior written consent.

Booking Confirmation

All bookings are made through our website.

A booking is confirmed only upon receipt of full payment.

You will receive a confirmation email once your booking and payment have been approved.

A minimum of one (1) hour is required for each studio booking.

For discounted rates, a minimum of five (5) hours is required.

Additional hours are subject to availability and will be charged at the applicable hourly rate.

While additional time cannot be guaranteed, we will extend your booking if there is availability.

Overtime is charged at $20 for every additional 15 minutes used. This includes any time spent packing up, organizing equipment, or cleaning the space.

If no overtime is available and your session overlaps with another booking, a fee of $90 will be deducted from your deposit, and no additional time will be granted.

If you wish to book the studio for an event or video production that requires a sound system, please email us your request.

No refunds are available for unused hours or no-shows. Studio credit is provided for cancellations made at least 48 hours in advance.

Studio Condition

The Customer agrees to return the Studio in the same condition it was provided.

Please handle all props, decor and equipment with care.

Customers will be held responsible for any damage to studio equipment or property during their booking time.

A $300 fine will be charged for each incident of damage. Failure to leave the space clean and tidy may result in additional cleaning fees of $120.

Liability

Upon arrival, one guest must complete our general liability form. Mood Studios is not liable for any injury, loss, or damage to the Customer’s property or guests while on the premises. The Customer assumes full responsibility for their use of the Studio, equipment, and any associated risks. Customers are responsible for their own equipment and personal belongings during their rental time.

Privacy Policy

We respect your privacy and are committed to protecting it. Any personal information collected during the booking process will be used solely for the purpose of providing our services. We do not share your personal information with third parties unless required by law.

Rules and Regulations

– No smoking allowed inside the Studio.

– No animals are allowed in the studio.

– Noise levels must be kept to a minimum to avoid disturbing others.

– The Customer must follow all safety and health regulations, including any COVID-19 protocols.

– No pornographic content is allowed in the Studio.

Termination

Mood Studios reserves the right to terminate the rental agreement if the Customer violates any of the terms and policies or engages in unsafe or inappropriate behavior.

Amendments

Mood Studios reserves the right to amend these Terms and Policies at any time. Continued use of the Studio constitutes acceptance of any changes. If a booking was made prior to the amendments, the new amendments will automatically apply. We will attempt to notify confirmed bookings of any updates.

Seasonal Installation

DISCLAIMER: During themed seasons, such as Holidays, Valentine’s Day, etc., the studio will be redecorated to reflect the season.

Please note that seasonal installations are fixed, as these placements are curated by our in-house designer to optimize lighting and aesthetics of the space.

If you have any questions or concerns regarding our seasonal installation, please feel free to email us.

Once a seasonal installation is set up within the Studio, it cannot be moved from its designated location. The designer curates this placement to optimize lighting and positioning. Some setups may include hanging features and fixed decor pieces, making relocation impossible. For questions about current or upcoming installations, please call us or email us.

General Information

Please keep music and noise at a reasonable volume. A minimum fine of $100 will be applied for excessive noise complaints. No alcoholic beverages or drugs are allowed inside the Studio. A fine ranging from $500 to $10,000 will be charged for each incident. Anyone who is intoxicated or under the influence of illegal substances will not be admitted into the Studio.

No open flames, dry ice, sparklers, or smoke machines are allowed.

Our studio admin will check the room 5-10 minutes prior to the end of your booking to ensure the room is left in its original condition. Furniture and props must be returned to their original places, and all garbage must be disposed of properly.

Your security deposit will be deemed non refundable if damages incur in the studio room. Damage costs, include but are not limited to, the studio floor, walls, furniture, equipment, etc.

The studio must be used for legal purposes ONLY. Activities that violate laws or promote discrimination, harassment, or violence are strictly prohibited.

Please ensure you bring all your belongings into the studio with you; our staff is not responsible for items left in common areas or studio rooms. We will do our best to locate lost items and keep them in our lost and found for 2 weeks. If you believe you have left something behind, please call or email us.

Currency

All dollar amounts contained in or referred to in this Agreement shall be construed to be in Canadian currency.

CAPACITY LIMIT — 25 PEOPLE MAX

Exceeding the capacity will result in immediate termination of the event without refund.

BOOKING & PAYMENT

Full rental payment is required to secure your event date.
A $300 security deposit is required upon arrival and will be refunded after your event pending complete inspection of the space.

EVENT HOURS & OVERTIME

All events must begin and end at the booked time slot.
All event duration is inclusive of set up/decor and take down/clean up.
Any overtime will be billed at $45 for every additional 30 minutes.

FOOD & ALCOHOL

Food and beverages are allowed.
No selling, serving, or distributing alcohol.

PROPS USAGE

Tape, screws, or adhesives that peel paint and open flames are prohibited unless in enclosed containers.
Confetti, glitter, sparkles, fake snow, powders, or small-prop items are permitted.
If used and left behind, the $300 security deposit will be forfeited.

NOISE CONTROL

Noise levels must remain reasonable to avoid disturbing neighbors.
Guests may bring a speaker. If using a large speaker, please inform us in advance.

CLEANING & DAMAGE POLICY

The space must be returned to its original condition before departure. This includes cleaning all food messes, returning furniture to its original layout and disposing of all garbage in the designated bins.
Failure to clean the space or leaving it excessively dirty will result in forfeiture of the $300 security deposit.
The client is responsible for any damage to the furniture, walls, equipment or space.

Privacy Policy

CANCELLATION & RESCHEDULE POLICY

Bookings may be rescheduled with at least 5 days notice at no additional charge.
Cancellations made within 5 days of the event will incur a 100% charge of the total booking cost.

LIABILITY

The client is responsible for the conduct and safety of all guests.
The studio is not liable for lost, stolen, or damaged personal belongings.
By booking, you agree to indemnify and release the studio from any claims, injuries, or damages that arise from your event.
